Bulk Actions on the Tasks Grid

You can act on several tasks at once from the Tasks grid rather than opening each one. Select the rows, then choose what to do with them from the actions menu above the grid.

Before You Start

  • Anyone with access to the Tasks grid — Administrators and Members — can snooze, unsnooze and reassign.
  • Deleting also needs Task.Creator. Without it, Delete Selected Tasks is not in the menu. Administrators hold the permission implicitly.
  • Reassigning changes who is responsible for somebody else's task, so agree it first where that matters.

Select the Rows

  1. Click a row to select it. The row highlights.
  2. Hold Shift and click another row to take everything between the two.
  3. Hold Ctrl and click to add or remove single rows.

The actions button counts what you have, reading 1 Task Selected or 12 Tasks Selected. Open it and choose Select All to take every row matching the current search and filters, across all pages, or Unselect All to start again.

Clicking the chevron in the Open column opens the side panel instead of selecting the row, so you can look at a task without losing your selection.

A task assigned exclusively to somebody else cannot be selected at all. Clicking it does nothing, a Shift range skips over it, and Select All leaves it out, so no bulk action reaches it. See Tasks You Cannot Work On.

Snooze or Unsnooze the Selection

Reassign the Selection

  1. Select the rows.
  2. Open the actions menu and choose Reassign Selected Tasks.
  3. Pick the people and groups in the Assignees box.
  4. Leave Only Assignees Can Complete This Task ticked to restrict the tasks to those people, or untick it to let anyone on the team complete them.
  5. Click Reassign Tasks.

The assignees you choose replace the existing assignees on every selected task — they are not added to them. A task assigned to somebody who is not in your selection loses them.

Only Assignees Can Complete This Task is ticked by default, and it is applied to every task you selected. Tasks that anyone could complete before become restricted to the new assignees unless you untick it.

The new assignees appear in the Assignees column straight away, and anybody else with the grid open sees the change without reloading.

Delete the Selection

  1. Select the rows.
  2. Open the actions menu and choose Delete Selected Tasks.
  3. Read the confirmation. It lists every task you selected, with what is about to happen to it and why.
  4. Click Delete Tasks.

A Tasks Deleted message confirms it and counts what went. The rows disappear from your grid and from everybody else's without a reload, and if one of the deleted tasks was open in the side panel, the panel closes.

What Can Be Deleted

Two rules decide it, and they are the two the side panel's Edit / Delete button already follows:

A selection holding a mixture is not refused. Everything you may delete is deleted, and everything else is left exactly as it was.

The Confirmation

The confirmation lists every task you selected, not only the ones about to go, so you can see what the two rules made of each one before you commit:

Where something is being left behind, a line above the list counts it: 3 tasks in your selection cannot be deleted and will be left alone.

Deleting is immediate and there is no undo. Each task goes, and with it its description, subtasks, uploaded files, comments, attachments and activity. Nothing is recoverable, and no report or export keeps a copy.

What a Deletion Changes

  • The deleted tasks stop counting in Analytics.
  • Deleting an attached task changes its checklist's progress and is recorded on that checklist's activity feed. A selection taken from several checklists updates each of them.
  • Deleting an unattached task leaves no activity entry, because there is no checklist to record it against.

What Cannot Be Done in Bulk

  • Completing tasks. A task is completed from the side panel, because its controls have to be answered first. See The Tasks Grid.
  • Changing due dates. Open each task and set its date, or move the dates on the template. See Task Due Dates.
  • Deleting a checklist's own tasks. Only standalone tasks are deleted on their own. A checklist task goes when its checklist is deleted. See Managing Checklists.
  • Tagging. Tags go on one task at a time, from the Task Tags box in the side panel. See Applying Tags.
