Templates in the Library
Templates in the Library are your team's reusable process templates. Storing templates in the Library makes them easy for team members to find, review, and run without needing to navigate to the Templates section.
Adding a Template to the Library
You must be an Administrator or have the Template.Creator permission to add templates.
- Select the folder you want to add the template to by clicking it in the sidebar.
- Click the New Template button in the Create New section at the bottom of the sidebar.
- You will be taken to the Template Designer where you can build the template.
- When you save the template it will automatically be added to the selected folder.
Viewing and Editing a Template
Each template item shows a primary action button on the right-hand side. Which button appears depends on your permission level for that folder:
- Edit permission → Edit Template — Opens the Template Designer so you can modify the template.
- View permission → View Template — Opens the template in read-only mode.
Both buttons navigate to the same Template Designer; the level of access within the designer is controlled by your template-level permissions.
Template Actions
Users with Edit permission on the folder will see an Actions button next to the template. Clicking it reveals the following options:
- Print Template — Opens a print-friendly version of the template tasks and content.
- Duplicate Template — Creates a copy of the template in the same folder. You can then edit the copy independently.
- Generate Create & Run Link — Generates a shareable link. Anyone who clicks the link will have a new checklist created from this template and opened immediately. This is useful for distributing a template to team members who run it regularly.
- Move to Folder — Moves the template to a different library folder. You must have Edit permission on both the source and destination folders.
- Remove From Library — Removes the template from the Library. The template itself is not deleted and can still be accessed from the Templates section, but it will no longer appear in the Library.
- Archive — Archives the template, removing it from the folder and moving it to the Archived system folder. Only Administrators can archive templates.

The Actions button is only visible to users with Edit permission on the folder. Users with View permission only see the View Template button.
Checklist Runs
Expand a template item by clicking the arrow icon on the right to open its detail panel, then click the Checklist Runs tab.
This tab shows all checklists that have been started from this template, with the following information for each:
- Checklist name
- Scheduled, started, and completed dates and times
- Current status
- Assigned team members
- Number of tasks completed out of the total
Version History
Open the Version History tab in the template's detail panel to see a full record of every version that has been saved for this template.
Each version entry shows:
- The version number
- Who created the version and when
- A View This Version button to open that version of the template in read-only mode
This allows you to review what the template looked like at any point in its history and compare changes between versions.

Archiving a Template
Archiving a template removes it from its current folder and moves it to the Archived system folder. Archived templates are not deleted — they can be viewed and restored by Administrators at any time.
Only Administrators can archive and restore templates.
To archive a template:
- Click the Actions button on the template item.
- Select Archive.
- Confirm the action.
To restore an archived template:
- Click Archived in the sidebar to open the Archived folder.
- Find the template and click its Actions button.
- Select Restore and choose the folder to restore it to.
Removing a Template From the Library
Remove From Library removes the template from it's current Library folder without deleting it. The underlying template remains intact and can still be accessed from the Unfiled folder.
To remove a template from the Library:
- Click the Actions button on the template item.
- Select Remove From Library.
- Confirm the action.
