Articles in the Library
Articles are knowledge base entries stored in the Library — written documents, guides, standard operating procedures, or any reference material your team needs access to. Articles are written using a rich text editor and can be previewed directly in the Library without leaving the page.
Creating an Article
You must be an Administrator or have the KnowledgeBase.Creator permission to create articles.
- Select the folder you want to add the article to by clicking it in the sidebar.
- Click the New Article button in the Create New section at the bottom of the sidebar.
- You will be taken to the Article Editor.
- Give your article a title and write the content using the rich text editor.
- Click Save when you are done. The article will be saved back to the selected library folder.
Viewing and Editing an Article
Each article item shows a primary action button on the right-hand side. Which button appears depends on your permission level for that folder:
- Edit permission → Edit Article — Opens the Article Editor so you can modify the content.
- View permission → View Article — Opens the article in read-only mode.
Article Preview
You can preview an article's content directly in the Library without opening the full Article Editor.
Click the arrow icon on the right-hand side of an article item to expand it. The article content will load in the panel below the item row.
Article Actions
Users with Edit permission on the folder will see an Actions button next to the article. Clicking it reveals the following options:
- Delete Article — Permanently deletes the article. This cannot be undone.
- Move to Folder — Moves the article to a different library folder. You must have Edit permission on both the source and destination folders.
- Remove From Library — Removes the article from the Library. The article is not deleted but will no longer appear in the Library.
- Archive — Moves the article to the Archived system folder. Only Administrators can archive articles.
note
The Actions button is only visible to users with Edit permission on the folder. Users with View permission only see the View Article button.
warning
Deleting an article is permanent and cannot be undone. Make sure you no longer need the article before deleting it.
