Tagging Library Items

Items in the CheckFlow Library — templates, articles and files — can each be tagged independently. Library item tags appear on the Tag Page in a dedicated Library Items section, making it easy to find related reference materials, standard operating procedures and files all from one place.

Library Access Required

You must have at least Viewer access to the Library to see library items on Tag pages. Users without library access will not see the Library Items section.

Adding a Tag to a Library Item

Tags on library items are managed directly within the Library.

  1. Navigate to the Library from the left navigation.
  2. Browse or search for the item (template, article or file) you want to tag.
  3. Click the item row to expand its actions, then click the Actions button.
  4. Select Edit Tags from the actions menu.
  5. In the tags field, start typing the name of the tag you want to add.
    • If the tag already exists, select it from the autocomplete dropdown.
    • If it is a new tag, type the full name and press Tab or click away to create it.
  6. The tag will appear as a light blue label confirming it has been added.

Repeat for as many tags as you need. You can add multiple tags to a single library item.

Removing a Tag from a Library Item

  1. Navigate to the Library and locate the item.
  2. Click the item row to expand its actions, then click the Actions button.
  3. Select Edit Tags from the actions menu.
  4. Find the tag label you want to remove and click the × (cross) on the right side of the label.

The tag is removed from the library item immediately.

Viewing Library Item Tags

Tags applied to library items are shown as small teal labels in the library item row. This makes it easy to see at a glance which items are tagged without opening the edit panel.

  • If an item has one tag, the tag name is displayed directly.
  • If an item has multiple tags, the count is shown (e.g., 2 Tags). Hover over the label to see the full list.

Library Items on the Tag Page

When you click a tag in the Tags Menu, the Tag Page displays all items associated with that tag. Library items with the tag appear in a Library Items section at the bottom of the page.

Each library item in this section shows its type (Template, Article or File), name, and relevant metadata. You can expand a template to see its checklist runs directly from the Tag Page, or open any item with a single click.

Use Cases for Library Item Tags

  • By Project — Tag all templates, articles and files related to a specific project with the project name. The Tag Page then gives you a complete view of all project materials in one place.
  • By Department — Tag HR templates and onboarding documents with HR so the HR team can find all their relevant materials quickly.
  • By Process Type — Tag all safety-related materials with Safety so auditors and compliance teams can access them in one click.
  • By Status — Use tags like Draft or Approved to indicate the status of documents in the Library.
