The Tag Page

The Tag Page is your central hub for everything associated with a specific tag. It brings together all checklists, tasks and library items that carry the selected tag into a single screen, making it easy to review, manage and act on them without navigating across different areas of CheckFlow.

To open the Tag Page for any tag, click its name in the Tags Menu in the left navigation sidebar.

What the Tag Page Shows

The Tag Page is organised into up to three sections, each displayed only if there are items of that type tagged with the selected tag:

Checklists

The Checklists section shows a grid of all checklists tagged with this tag that you have permission to view. For each checklist you can see:

  • Checklist Name — Click the name to open the checklist directly.
  • Scheduled / Started / Completed dates — When the checklist was scheduled to start, when it actually started, and when it was completed (if applicable).
  • Status — The current status of the checklist (e.g. Not Started, In Progress, Overdue, Complete).
  • Assignees — The team members or groups assigned to the checklist.
  • Tasks Complete — A progress bar and count showing how many tasks have been completed out of the total.

You can sort the checklist grid by clicking any column header. The grid is paginated if there are many checklists.

Expanding Checklist Tasks

Click the expand button (the + icon) on the left side of any checklist row to reveal the tasks within that checklist inline. This lets you view task status, check off tasks and manage assignments without leaving the Tag Page.

Tasks

The Tasks section shows a grid of all individual tasks across all checklists that are tagged with this tag. For each task you can see:

  • Task Name — The name of the task.
  • Checklist — The checklist the task belongs to. Click to open that checklist.
  • Due Date — The task's due date, if one has been set.

The task grid is sorted by due date by default, helping you prioritise upcoming and overdue work. You can re-sort by Task Name or Checklist Name by clicking the relevant column header.

Library Items

The Library Items section shows all library templates, articles and files that are tagged with this tag. This section is only visible to users who have library access (Viewer role or above).

Each library item displays its type (Template, Article or File), its name and relevant metadata such as the last modified date or who uploaded the file. Click an item to open it, or expand a template to view its checklist runs directly from this page.

Interacting with Items on the Tag Page

The Tag Page is not just a read-only view — you can take action on items directly from here:

  • Open a checklist — Click the checklist name to navigate to it.
  • Complete tasks — Expand a checklist row and check off tasks directly in the grid.
  • Open library items — Click an article or template to open it in the Library.

Tag Page Header

The tag name is displayed prominently at the top of the Tag Page. If you are a team Administrator, two action buttons are shown beneath the tag name:

  • Edit Name — Rename the tag. See Managing Tags for details.
  • Delete Tag — Permanently delete the tag. See Managing Tags for details.

Tag View

Permissions and Visibility

The Tag Page respects your team's permission settings. You will only see items you have access to:

  • Checklists you do not have permission to view will not appear in the Checklists grid.
  • Library items in folders you do not have access to will not appear in the Library Items section.
  • The Library Items section itself is hidden entirely if you do not have any library access role.

This means two users looking at the same Tag Page may see different sets of items depending on their individual permissions.
