Archived Checklists

The Archived Checklists report is a dedicated view for managing checklists that have been archived. This report is only accessible to team Administrators.

What is Archiving?

Archiving removes a checklist from all standard views — including the Dashboard and all other report views — without permanently deleting it. Archived checklists and their data are preserved and can be restored at any time.

Archiving is useful for completed checklists you want to keep for records but no longer need to appear in everyday views.

Accessing the Archived Checklists Report

Open the Reports section from the left navigation bar, then click the report views dropdown and select Archived Checklists from the System Views list.

This view is only visible to team Administrators. If you do not see it in the dropdown, you do not have the required permissions.

Columns

The Archived Checklists report displays the same columns as other reports, with two differences:

  • The Completed By column is included by default.
  • The Next Task column is hidden by default (as archived checklists are typically complete).

Archiving Checklists

Checklists can be archived in two ways:

From any report view (Administrators only):

  1. Select one or more checklists by clicking their checkboxes on the left side of the grid.
  2. Open the bulk actions dropdown that appears.
  3. Select Archive Selected Checklists.
  4. Confirm the action in the dialog that appears.

The selected checklists will immediately disappear from the current view and will be accessible in the Archived Checklists report.

From the checklist itself:

Administrators can also archive a checklist directly from within the checklist using the actions menu.

Restoring Archived Checklists

Restoring a checklist moves it back into the standard views and makes it visible again on the Dashboard and in other reports.

To restore archived checklists:

  1. Open the Archived Checklists report.
  2. Select one or more checklists using the checkboxes on the left.
  3. Open the bulk actions dropdown.
  4. Select Restore Selected Checklists.
  5. Confirm the action in the dialog.

The restored checklists will be immediately visible across all standard views.

Permanently Deleting Archived Checklists

Archived checklists can be permanently deleted from the Archived Checklists report.

Permanent deletion cannot be undone. All checklist data, task responses, comments, and uploaded files associated with the checklist will be lost.

To permanently delete archived checklists:

  1. Open the Archived Checklists report.
  2. Select one or more checklists using the checkboxes on the left.
  3. Open the bulk actions dropdown.
  4. Select Delete Selected Checklists.
  5. Read the warning in the confirmation dialog and confirm the deletion.
